Dental Front Office \ Reception. Daily Duties.
FRONT OFFICE MINIMUM DAILY TASKS
Open:
Schedule Appointments (goal is to be "Booked" at least one week out):
Recall Patients (pts who need to return for routine care).
Update records
Confirm Scheduled Appointments (goal is to be one week out).
Process/Verify pt insurance: Confirm coverage for scheduled procedures.
Charge/Collect payment for care provided:
Answer all incoming calls Greet every caller according to script:
Make outbound marketing calls:
Receive and greet folks:
Coordination with staff:
Close:
Open:
- Unlock front door and flip sign.
- Un-transfer phones.
- Check email for new pt wanting appt.
- Confirm pts that are not confirmed for the day.
- Identify openings in the schedule.
- Call pts waiting for an opening/fill schedule openings.
- Collect info for Morning Huddle Meeting with Staff.
- Sweep behind front desk.
- Check/Straighten waiting room.
- Check/Straighten Patient Rest room.
- Inventory Cash Box and verify the correct starting amount with Office Manager.
- Morning Huddle Meeting. Brief staff.
Schedule Appointments (goal is to be "Booked" at least one week out):
- Fill Schedule openings from cancellations.
- New Patients.
- Existing patients (on-going treatment plans).
Recall Patients (pts who need to return for routine care).
- Query management software to generate daily "Recall List".
- Call every person on the list (usually 20-30), remind them of need for routine care.
- Set appointment for routine care.
- Reschedule unavailable people for two week follow up.
- Do follow up recall.
- Update all records, notes, schedules.
Update records
Confirm Scheduled Appointments (goal is to be one week out).
- Appointments one month away: send email/postcard reminder.
- Appointments 7 days away: Call or email pts and give reminder of appt.
- Appts 6,5,& 4 days out: Call everyday until appt is verbally confirmed.
- Appts 3 days away: If unconfirmed, then consider them cancellations.
- Schedule appointments to fill spots opened by cancellations.
- Appts for tomorrow: call to confirm/remind.
Process/Verify pt insurance: Confirm coverage for scheduled procedures.
- Contact insurance and/or responsible party to verify coverage for procedure code.
- Coordinate with staff to make any adjustments in coding and/or procedure.
- Coordinate with patient to confirm/adjust out of pocket expenses and/or scheduling changes required.
Charge/Collect payment for care provided:
- Ask how pts will be paying for care.
- Collect insurance info (copy card front and back).
- Collect co-pays prior to treatment.
- Collect payment for treatment provided.
- Collect any other information for billing to insurance.
Answer all incoming calls Greet every caller according to script:
- Answer questions promptly.
- Write down questions left unanswered and offer call back.
- Ask if they want to schedule an appointment NOW.
- Take messages for "back office", unless specific call .
- "Gate Keeper" for Doctor and back office.
Make outbound marketing calls:
- Research subjects called about to prepare.
- Contact at time of day requested.
- Ask them to schedule appointment.
Receive and greet folks:
- "sign in" pts.
- Inform assistants, hygienist of pt arrival.
- Invite non-pts to become pt.
Coordination with staff:
- Meet w/Office Manager and/or Lead Asst daily, at regularly scheduled time.
- Review the schedule for next 7 days.
- Make required adjustments to scheduling.
Close:
- Transfer lines.
- Lock front door and flip sign.
- Count/Inventory cash box and verify with Office Manager.
- Check PT restroom.
- Straighten reception area.
- See if any claims need to go out.
- Send message to part time staff confirming start time for the next day.
